Job Description

    The WM Content and Document Management Center of Excellence team is set up with a vision of creating a world-class service utility to manage client documentation process across multiple businesses and tools. The team will partner with other Operations groups, Technology and Business stakeholders across multiple locations to identify processes that can be reviewed and standardized leveraging paperless products such as DocuSign and OCR capabilities. As a Content and Document Management team member, you are expected to partner with multiple stakeholders across business, technology and control partners to develop and sustain electronic delivery, data capture and signature capabilities across the client journey. Core Responsibilities
    • Set up a team to cater to the business demand for document management. The team will start with 7 FTE, however, will grow exponentially in the coming months
    • Manage the expectations from business across Asia, EMEA and Americas to onboard, standardize and govern the document management process
    • Actively lead setting up of procedure documentation, process maps and governance framework
    • Any experience in automating manual processes will be an added advantage
    • Manage and support aspects of the Document Lifecycle for various business groups and processes
    • Develop an understanding of document lifecycle processes and procedures
    • Maintain records and audit trail at relevant stages of the governance process and manage intake of new requests for the team
    • Act as an SME in transforming documentation to support electronic delivery, data capture and signatures
    • Ability to create / adapt / review the Standard Operating Procedures for the team and various processes being supported as well as effectively transfer knowledge within the team
    • Capture documentation related requirements and maintain effective controls with a strong attention to detail, Ability to handle all miscellaneous requests related to the process & assist the team with research, investigation & resolution of issues, in relation to documentation as required.
    • Develop and provide MIS & Reporting on deliverables.
    • Maintain optimal Productivity & Accuracy levels for the team as defined for the process.
    • Ensure timely follow-ups on the pending/ageing requests, if any by the team.
    • Ensure that all requests are completed by the team before cutoff and within SLA s.
    • Ensure the capturing of the details of the requests processed on a daily basis for the MIS/Reporting purposes.
    • Review and prioritize use cases for various requests to maximize the value of delivery
    • Oversight and controls in relation to process and strong record keeping/planning
    • Client experience focused in order to implement a seamless experience
    • Any technical knowledge/interest in digitalizing documentation (e.g. with DocuSign) will be an added advantage
    Qualifications
    • 10+ years of experience in relevant industry / process or any experience in digitization
    • Relevant experience in Wealth Management, Asset Management, Digital Banking, or a closely related business preferred
    • Demonstrated ability to manage tight delivery timelines, and ensure our organization is on track to execute and deliver strategic change that meets our goals.
    • Proven ability to execute via successful internal partnerships with other organizations with the ability to influence people at all levels across a broad variety of job functions.
    • Structured thinker, effective communicator with excellent written communication skills. Ability to crisply articulate complex technical concepts to senior audiences with poise and confidence.
    • Bachelor s Degree required.
    • Any language skills will be an added advantage
