Job Description

Schedule and manage a demanding Outlook calendar, prioritize and resolve schedule conflicts, and handle scheduling challenges arising from urgent requests Act as the schedule gatekeeper while also making the executive available and accessibleLead the hiring and help the team with that. Understand the need and source the candidates based on the requirements of each team. Work with Recruitment team to get the right candidate identified and hiredUnderstand the immediate organization needs to see which team needs help in hiring, how to prioritse hiring and work with HM to close req fast.Ability to collaborate across various managers in the team and provide executive summary every week.Understand the training needs for the team working with all managers. Format information for internal and external communication memos, emails, presentations, reports Take minutes during meetings Liaise with senior level executives and their assistants throughout VMware and outside the company Coordinate meetings/calls with external customers/attendees and their Executive Assistants Manage staff meetings and operational meeting agendas for the Sr.Director of India R&D Organize and manage the scheduling of the India Leadership Team at the R&D and VMware India levels Coordinate domestic and international travel, including post-travel debrief, expense reports, etc. Schedule team meetings (onsite/offsite), team events, etc. including catering, if necessary, and partner closely with other VMware India administrative assistants for organizational planning, meetings and events Initiate purchase orders, reconcile invoices, track budgets, and complete/track expense reports A strong team player, who thrives in a collaborative setting and works well within a global environment Past experience of supporting C-level executives in multi-national companies Able to work with individuals at all levels of the organization Pro-active, polished, positive and personable with excellent communication skills and an upbeat, can do attitude Ability to take initiative with confidence, think clearly, creatively solve problems and make decisions under pressure Resilient, ability to manage multiple projects and deliver quality work to deadlines Discretion, diplomacy and excellent judgment; high degree of integrity when dealing with confidential and sensitive information Meticulous attention to detailDesired: Advanced proficiency with Microsoft Office Suite, including Excel formulas and PowerPoint features.,
