Job Description

Job PurposeTo assist the Conference Project Lead in organizing conferences; to represent Elsevier onsite at the supported conferences; to be the main Elsevier liaison for the conference chair, committee and invited speakers for conference content; to manage content and production of conference abstracts books and program booksKey Result Areas Invited speaker / committee liaison

  • Be main point of contact for chair, session chairs, scientific committee and invited speakers for conference content
  • Manage timelines for chair, session chairs, scientific committee and invited speakers
Conference programme
  • Confirm proposed program structure and ensure it works within limitations of time, space, poster space, etc.
  • Confirm timing of breaks, lunches, start and end times, rooms
  • Mark-up the Oxford Abstracts database according to the programme
  • Put together the program document
Abstract management and programme production
  • Compile conference specific abstract instructions and update on Oxford Abstracts database
  • Liaise with chair to confirm abstract review procedure and compile review instructions accordingly
  • Pro-actively work with internal and external teams to ensure that deadlines are met, and that authors and team members have all information required
  • Contact reviewers prior to review, assign abstracts to reviewers, provide reviewers with log-in details and completion deadline
  • Compile abstract review data, send to chair and mark-up Oxford Abstracts database
  • Update Oxford Abstracts with dates, times and numbers and notify authors of their presentation times
  • Coordinate poster program details, update authors and supply guidelines
  • Update and maintain poster program in Oxford Abstracts
  • Track author registrations and match with accepted abstracts; update system with replacement speakers if needed
  • Chase authors to register by author registration deadline
  • Collate abstracts, invited speaker bios and abstracts
  • Compile all files per requirement for online/print version
  • Send final files to Project lead
  • Update online program with changes
  • Handle all email queries with 48 hrs TAT
  • Track conference app and ensure all changes are reflected
  • Handle awards/bursaries related organizing and communication per requirement
  • Prepare session chair packs and manage communication with them
  • Manage online final file upload for presenters as needed
Onsite/online conference support
  • Travel to about 8 international conferences annually
  • Represent Elsevier at conferences onsite/online, establish rapport with speakers and delegates, troubleshoot
  • Liaise with Conference Project Lead and Chair
  • Attend pre-conference briefing sessions
  • Assist Conference Project Lead onsite with set up, registration, delegates queries and all elements needed for successfully running a conference onsite
  • Set up poster numbers and manage rotations
  • Welcome speakers and Session Chairs, provide information for uploading talks
  • Check all speakers for each session have arrived, presentations have been uploaded
  • Liaise with Conference Project Lead and Chair if speakers are missing
  • Moderate sessions for online conferences
Reporting
  • Send out thank you notes to invited speakers and Scientific Committee Members
  • Report on status of conference to Project Lead, Publisher and Chair regularly and tailor each report to the receiver s needs
  • Create Management Information Reports including conference feedback for further conference development
