Job Description

Job title:Vendor Co-ordinator Career path:Business OperationsSummary: Responsible for supporting the administration, coordination and on-boarding of 3rd party vendors with Global, UK, EMEA and MENA contractsReporting to: Vendor ManagerEssential Duties and ResponsibilitiesPrimaryWorking in conjunction with both the Global and (UK, EMEA, MENA) Vendor Managers the Vendor Coordinator will be responsible for the following duties:

  • Track all 3rd Party Vendor Training Services Agreements and import to GP Vendor Portal and Vendor Database on a global basis. Ensuring that all contract documents are complete and signed off by both GP and the Vendor
  • Track all Service Requests and Statements of Work for all 3rd Party Vendors and import to GP Portal and Vendor Database. Ensuring that all contract documents are complete and signed off by both GP and the Vendor
  • Track and Report all regional Vendor Contact information and import to the GP Portal on a weekly basis
  • Track and Report all regional Vendor Rate Cards and Pricing and importing to the GP Portal on a weekly basis
  • Track and Report all regional Vendor Training Services information and importing to the GP Portal on a weekly basis
  • Import the Vendor Management Status Report on a weekly basis to the GP Portal
  • Track and Report of all Restricted Vendor ISR Classifications and importing to the GP Portal on a Monthly Basis
  • Monthly audit of GP Vendor Portal Vendor Database, Vendor Contact Information Report, Vendor Rate Card Report and Vendor Services Report for accuracy and correction
  • Maintain process notes, work related data for MIS and analysis
SecondaryAssisting the (UK,EMEA, MENA) Vendor Manager in:
  • Creation of Statements of Work
  • Answering Vendor and internal GP personnel on the status of the SOW
  • Purchase Order creation
  • Validate invoice and Invoice Management
  • Ensure timely payment release to the vendors and handling queries
