Job Description

Role- Executive Administration & Client RelationsDepartment - AdministrationUnit - MpowerLocation -MPower - Ideal Plaza, Unit N210A-211, 2nd Floor, North Block, 11/1, Sarat Bose Rd, Kolkata, 700020Reports to -Manager - Operations1. PurposeThe administrative executive is a critical member of the Centre staff teamTo provides organized operational & administrative support as needed in a professional and timely manner to ensure smooth day to day operations at the Centre.Tobe the first point of contact for all and must at all times act in alignment with and to uphold Mpowers Vision, Mission & Values. Each area of responsibility requires a number of actions to take place for their successful outcome. The following actions are indicative and may vary/evolve as needed2.Principal Responsibilities and Key Accountabilities:

  • Attend to calls received by MPower- The Centre on all concerned contacts including telephone and e-mail; address queries, redirect to internal team as may be needed.
  • Welcome & greet clients, guests and service providers at the Centre to make them feel at comfort and redirect to concerned professional/ room as may be directed by Manager Operations or therapists.
  • Track & maintain records system for in-coming and out-going correspondences, documents, and Centre records (Courier, Office Equipment Service Maintenance, etc.)
  • Co-ordinate with staff, therapists and clients for scheduling & ensuring on time scheduling of appointments
  • Provide, track and maintain office stationery, business cards, pantry supplies etc. to be reviewed by Manager Operations.
  • Maintain database of contacts including internal team members, external vendors pertaining to administration, facilities, security and housekeeping. Also maintain records of people who visit the Centre be it for purpose of inquiry, collaboration etc.
  • Collaborate with respective teams for logistics support for MPower events. Manage the housekeeping staff & ensure day to day arrangements & functioning of all housekeeping & office staff
  • Manage & maintain records of petty cash
  • Track and maintain payment records as per processes of Finance & Accounts for information to be provided in a timely and accurate manner.
  • Comply with client confidentiality policy and maintain case related & other administrative records as per company policy and filing requirements.

  • Maintain a good rapport and working relationship with all staff and suppliers.
  • Provide a courteous, professional, attentive, and efficient service at all times with all stakeholders.
  • Attend and contribute to all staff briefings/meetings and other related activities.
  • Support new recruits through on the job training.
  • Maintain a high standard of personal appearance, and as per the personal presentation policy, and report for duty punctually, wearing the appropriate attire.
  • To undertake and carry out any other reasonable roles and responsibilities as requested by the Manager.
