Job Description

    This individual will be a key member of the APAC Legal Business management team and will be responsible for and expected to:
    • Maintain and/or circulate key departmental updates and metrics such as Org charts, Monthly Mobility Mailer, Weekly Flash Report, Attorney Licensing information, etc.
    • Assist with key presentations for the APAC Business Manager/Legal Management Team pertaining to staffing, expenses, mobility, attrition and so on. Prepare for and coordinate material for management forums as and when required (i.e., Town Halls, Virtual Visits, Offsites, ad-hoc management meetings).
    • Track and maintain key departmental information such as Contact Lists, Organization Charts, Forums & Committees List, New Joiners List, Email Distribution Lists, Attorney License List, Senior Visitors List, Occupancy List/Seating Plan, Cabinets, Monitors, Holiday Schedule, etc.
    • Support the Legal department with special projects from time to time (e.g. Mumbai Corporate Center buildout, APAC Legal Sharepoint, EAW, EOS, CrowdSolve etc.)
    • Provide support with the strategic priorities of the department such as the focus on the Mumbai Corporate Center (MCC) in terms of employee experience/engagement, departmental metrics, visitors, supplies, stationary, seating etc.
    • Coordinate training programs and courses for Legal employees regionally, including encouraging and tracking participation (i.e. Global Legal Learning trainings, APAC Legal New Hire Induction Program, iManage Trainings etc.). Coordinate event logistics with the Multimedia Team to ensure smooth execution of the event in question.
    • Engage and collaborate with various committees and forums in APAC Legal to ensure robust communication, tracking upcoming events, updating the regional and global Legal calendar of events and so on (Employee Engagement Committee, Analyst Associate AVP Forum, Paralegal Excellence Committee etc.)
    • Maintain regular communication & coordination with global partners and regional stakeholders on matters pertaining to Record Retention, Business Resiliency, etc.
    • Maintain regular channels of communication with the Admin staff across all 12 jurisdictions on key updates or events, seating plans, contact information, RTTO status, engagement activities, visitors, etc.
    • Ensure a smooth and efficient employee experience by proactively and consistently acting as the liaison between multiple internal partners (GRE, GBDS, GS&I, GTI, and HR) and Legal colleagues on all matters relating to the smooth operation of the department such as access certifications, key location specific updates, raising
    • Provide Return-To-The-Office (RTTO) support (i.e. ensuring work patterns are updated, monthly RTTO status summary etc.)
    • Assist with on-boarding, off-boarding and relocation of APAC Legal staff, contractors and secondees, in co-ordination of Legal Onboarding Team and local admins
    Skills required
    • 3+ years of experience in business management and/or project management
    • Strong written & verbal communication skills
    • Proficient in PowerPoint, Excel and Word
    • Supreme work ethic with a keen eye for detail, a proactive and positive attitude and sense of ownership
    • Ability to clearly present and articulate issues, options and conclusions;
    • Interact and communicate effectively across all levels within and outside the department
    • Strong time management and ability to coordinate with local, regional and global teams to ensure a smooth execution/resolution of the matter at hand
    • Strong team player with an ability to build good working relationships across groups /geographies.
