Job Description

    1. Answer all incoming calls in a polite and friendly Manner, redirect them when needed.
    2. Welcome visitors in a warm and friendly manner any answer any question visitors have.
    3. Maintain reception area and all common areas of office in a clean and tidy manner at all times.
    4. The Office Boys, Pantry & HK Helper & the drivers report to me. You will be required to update the management & HR in case of their leaves etc.
    5. You will coordinate with the different teams and plan the out-duty of the office boys in the most efficient possible.
    6. Operate standard office equipment on a regular basis, including a phone, a copy machine and a computer.
    7. The record of visitors is made as an entry into the register at the greeting desk. Once a visitor walks in to meet someone. You are required to notify the concerned person at the earliest and ask the pantry helper to offer water and tea/coffee.
    8. Receive deliveries; sort and distribute incoming mails/ couriers.
    9. Maintain the Excel sheet in drive & Registers for Inward & out ward couriers.
    10. Take inventory of supplies in Pantry & House Keeping. Update this to HR on the 1st of every month.
    11. Take inventory of the stationery items & Update HR on this. Once approval from HR is obtained, then place order & follow up with stationery vendor.
    12. Negotiate contracts with stationery vendors, printing vendors etc. On annual basis.
    13. Maintain the general office filling system & ensure that the office boys that report to you are adhering to the instructions issued to them by the different teams. In case of any confusion or clarity, the office boy will ask you for help.
    14. Check all Cash claim vouchers of office boys & take an approval from HR.
    15. Communicate with AC AMC & Pest Control AMC provider & arrange executive when needed.
    16. Check all invoices of Security, Stationery, Couriers & Printing & take approval of HR on the same.
    17. Check Attendance of security of Mahape, JNPT & CST Office on regular basis.
    18. Check all utility bills (Telephone, Electricity, Property tax, Water) as per reading & maintain the excel sheet for the same in drive.
    19. Maintain Excel sheet of housekeeping work schedule on daily basis.
    20. Update outdoor duties of office boys in HR ONE application on daily basis.
    21. Make an arrangement of travelling & accommodation of other location employee & guests, if required.
    22. All documents submitting & joining process to be obtained from of new joinees.
    23. Maintains employee information & documents in an Employee Data Folder.
    24. Track and update leaves of absence of your team.
    25. Order Stationery for Vizag location & communicate with transport team to dispatch the stationery at vizag location.
    26. Scheduling job interviews and assisting in interview process.
    27. Preparing new employee files.
    28. Assisting the HR team with recruitment, on-boarding and termination processes.
