Job Description

    Job Overview: We are seeking an experienced and detail-oriented Executive Assistant to provide high-level administrative support to the Director of our Pharma Company. The Executive Assistant will be responsible for managing the Directors schedule, coordinating travel arrangements, preparing reports, conducting research, and handling confidential information with discretion. The successful candidate will have excellent communication and organizational skills, the ability to multitask and prioritize effectively, and a strong sense of professionalism.
    • Manage the Directors calendar, including scheduling meetings, appointments, and conference calls.
    • Coordinate travel arrangements, including booking flights, hotels, and transportation, and preparing travel itineraries.
    • Prepare reports, presentations, and correspondence for the Director, including drafting and editing documents as needed.
    • Conduct research on various topics as assigned by the Director, and prepare summaries and reports as required.
    • Attend meetings with the Director and take detailed notes, ensuring action items are documented and followed up on.
    • Manage the Directors expenses, including reviewing and processing expense reports and ensuring compliance with company policies.
    • Handle confidential and sensitive information with discretion, maintaining a high level of confidentiality at all times.
    • Communicate effectively with internal and external stakeholders, including senior executives, customers, vendors, and partners.
    • Perform other administrative tasks as needed to support the Director and the team.
