Job Description

    *What will your essential responsibilities include
    • Provide the following assistance related to PMO status meetings:
      • Organize and coordinate regular/ ad-hoc status meetings
      • Compile project status report inputs and facilitate project status meetings
      • Follow-up with Project Managers on status reports, change requests, project closure and other reporting requirements
      • Assist PMO Manager in preparing meeting minutes for multiple PMO status meetings
    • Act as Project Assistant on small to medium size projects
      • Help to facilitate and organize meetings as and when required
      • Assisting Project Lead in all PMO related activities
      • Provide assistance in meeting minutes preparation ensure quality and timeliness
    • Provide the following assistance related to PMO operations:
      • Prepare resource plans to support project efforts, run Planview reports and maintain forecast on multiple projects as per agreed timeline
      • Provide traceability into the time and cost spent on BAU, Small Change and Discretionary projects
      • Assist Project Managers and Resource Managers with entering the resource forecast in Planview
      • Ensure all teams are submitting their timesheets in Planview correctly and accurately
      • Perform regular resource forecasting activities, update key metrics, track budget vs actual variance and update dashboard for reporting to Head of Program Management Office
    • Provide the following assistance related to PMO continuous improvement and miscellaneous initiatives:
      • Maintain and upgrade PMO SharePoint page as per changing requirements
      • Coordinate and track the status for issue, risk and dependency (IRD) log
      • Maintaining project intake request log, service catalog, finance initiatives documents to monitor activity across CFO strategic delivery & finance operations function
    , *
    • Graduate/ Post-graduate with 4-6 years of experience with 0-1 years of project management experience, exhibiting willingness in assisting small to medium projects across multiple function areas and geographic regions
    • Project Management certification (PMP/ Prince2 Foundation) or looking to get certified (nice-to-have)
    • Knowledge of Finance Operations processes, procedures, and applications or Financial Accounting experience in financial services/ insurance industry (nice to have)
    • Ability to take directions from multiple onshore resources, works independently, and be accountable for assigned work
    • Skilled in Microsoft tools such as MS Project, Excel, PowerPoint and Word (nice to have)
    • Possess good communication (verbal and written) & interpersonal skills
    • Good documentation skills
    • Collaborative approach: seeks input from others to achieve the best result possible. Capable of working and collaborating with colleagues virtually
    • Keen attention to detail to maintain work accuracy - able to manage multiple tasks simultaneously
    • Good time management. Has a sense of personal accountability and a can do, will do attitude
