SUMMARY OF FUNCTIONS:The candidate will be responsible to provide administrative and executive assistance to Management Team and contribute diligently to office day- to- day activities & administration along with responsibilities as a support to Manager- Administration.MAJOR ACCOUNTABILITIES:PRIMARY ROLES & RESPONSIBILITIES:Executive Assistance to Management team:Planning and scheduling meetingsMaking domestic & international travel arrangements and accommodation for management & staff. Arranging of business VISA for international travel.Preparing and editing correspondence, reports, and presentations.Shall be able to organize and maintain office files and library manually as well as in ERPManage flow of Information- including high level / very sensitive and highly confidential information, with a high degree of discretion, via phone, email or meetings as applicable, to the management, staff, customer, vendor or any other associated stakeholder.Assisting Founder/ Director in his day to day routine activities and ensuring effective handling of same.Front Office Management:Managing EPABX System. Answer inward call, transfer to the concern person & note. Incase concerned person is not available, ensures collecting required information about caller, including purpose and contact details to provide a call back once concerned is available.Setting business meeting agendas, sending memos, accepting visitors, handling conference room occupancyManaging all incoming and outgoing mails (couriers/ letters) and its distribution & dispatch respectivelyOffice Administration:Provide Administrative support to management and staff in close co- ordination with Manager Administration.Managing Housekeeping, Pantry & Security Staff etc.Managing and issuing Printing, Stationary and Consumable supplies and other materials for office, facility, pantry, security, housekeeping, IT department.Maintaining daily attendance & details of employee, contacts in ERP system on regular basis.Coordination with Staff for day- to- day activities related to administration.ADDITIONAL RESPONSIBILITIES:Must be flexible enough to assist with variety/ ad- hoc duties as & when required,
