Job Description

Job Location: PuneExperience : 5 to 12 years To develop, manage and deliver a strong, Supply & Demand Service for the CIBS Project Services Support, implementing robust processes and procedures that ensure Resource Management coupled with Supply and Demand reporting is in delivered at Account, project, and programme level, to support:

  • Efficient resource forecasting and capacity benchmarking to assist with the efficient scheduling of projects, including
o Control the full renewal of contractors and FTCso Understand and develop a rolling 6 month demand forecast perspective, to be refreshed monthly
  • Maintain an understanding of prioritisation process and methods on the Account and within PSS and allocate resources in accordance with this, including appropriate timely escalations where there are supply shortfalls, with the ability to re-prioritise resources, suggest creative alternatives or recommend a priority call where supply constraints exist
  • Highlight where resource risks/issues exist that will prevent achieving plan
  • Human Resource Planning to ensure the correct skills are available when and where
required. This includes, but is not exclusive to:o Having oversight to the Skills Database through which Key Dependencies are highlighted and reportedo Work with the Account Portfolio Manager and Client Relationship Director, forward planning for the Account, be the provider of resource utilisation information, forecasts and scenarios to enable prediction of resource, under and over allocation, skills shortages, single point of dependency and recommending mitigating actions
  • Provide resource utilisation information, forecasts and scenarios to enable prediction of resource under and over allocation skills shortages and single point of failure and recommending mitigating actions. Input into Client meetings where appropriate.
  • Understand the supply pools and the skill sets and people within the supply pools that mainly work on the <Account name>, working closely with the Project and Portfolio managers i.e. Project Services including Project Managers, technical SMEs, Business/Systems Analysts, Testers and Developers both onshore and offshore. Understand how/who Business Operations personnel are resourced/seconded onto projects
  • Consult with the Project Managers to match supply to their demand requirements to enable the Project Managers to plan accordingly. This will include understanding likely skilled appropriate personnel, sourcing supply, managing efficient allocation of human resources against planned workload in accordance with the Account and PSS resource conflict and prioritisation procedures
  • Clear validation and reconciliation of forecast demand from Project Services internal, Transformation and Client Driven Change projects and programmes with supply pools (across a diverse range of supply pools including internal and external)
  • Undertake regular reconciliation of Supply and Demand pools with financial forecast processes and mechanisms
  • Use a single source of data and/or clear validation processes that ensure quality data and messages are reported via the various governance boards and supporting meetings, whilst recognising the differing needs of the audiences which will include delivery of internal and external views
  • Adherence to CIBS and joint Client Governance Models
  • Development and delivery of clear process flow of data, timetable, review and sign off linked to CIBS governance models
  • Stakeholder management and clear roles and responsibilities, including appropriate review and sign-off of data, reports and gateways enabling reporting to be delivered to the various governance boards
  • Ensure a good understanding of the Work Order and Change Order process
  • Maintain and continually improve the Resource/Supply and Demand toolsets used on the Account in order to track and report on the current and forecast position
  • Own and produce timely, accurate and appropriate Management Information working closely with the Account
Other Key aspects include:
  • Proactively establish excellent working relationships with Project Managers, Portfolio Managers, Programme Directors and the Senior Executive team to develop a clear understanding of roles and responsibilities
  • Work closely with Service Delivery Manager/Regional PMO Managers/PMO Managers to support staff, training, up-skilling and socialisation of new processes and procedures to compliment Resource/Supply & Demand management activity
  • Understand and own Supply and Demand/Resource landscape including the operation of the any specific account forecasting processes, vacancies, key risks for the <Account Name>
  • Share knowledge, insight, best practice and ideas amongst team
  • Implement KPIs and a customer (internal) satisfaction process to measure and monitor the performance of the Resource/Supply and Demand function
  • Quality checking financial reports and invoices, assisting with the monitoring and project and programme budgets
  • Ownership of Supply and Demand / Resource Management toolset including maintenance, annual updates and back up routines.
  • Awareness of the end-to-end lifecycle of Business Change / IT development programmes and projects and can demonstrate the following:
  • Strong influencing, negotiation and communication skills with a strong customer service focus, coupled with commercial awareness. Empathetic and open with the ability to see things from both the Capita and Client perspective and ability to work towards solutions that work for both sides
  • Proven ability to manage effective stakeholder relationships to senior management level and experience working in an internal and external client and service delivery environment
  • Proactive and tenacious driving ideas forward and ensuring they are implemented
  • Strong networking skills with an ability to develop and maintain a wide network of contacts within the business areas and IT
  • Advanced planning and organising capabilities with proven experience in innovating and improving process and services. Ability to maintain an understanding of the bigger picture whilst concentrating on the detail
  • Proactive with good decision making ability, able to recognise and exploit opportunities
  • Pragmatic and flexible approach to problem solving, ensuring that governance and reporting approaches are Fit for Purpose and provide real value rather than sticking to the status quo
  • Understanding of the Client/Supplier relationship from both sides coupled with commercial awareness
  • A good working knowledge of the Outlook, Word, Excel and PowerPoint. Ideally some Visio, Internet Explorer, SharePoint and SAP time code set up experience
  • Customer focused and forward thinking. Looks ahead beyond the short term to identify potential issues or opportunities and proactively takes action to resolve/capitalise on these
  • Is flexible when circumstances change and keeps projects and goals on track by changing the approach they take. Flexes the approach to fit the person or situation faced
  • Understanding of the use of manual tools (Excel, Powerpoint etc) at a grass roots level with the ability to highlight potential issues when resourcing/S&D Analysts are formulating data MI.
  • A working knowledge of VBA would be an asset and be able to demonstrate the following:
  • Empathetic and open with the ability to see things from both the Capita and Client or Supplier perspective and ability to work towards solutions that work for both sides
  • Comprehensive experience of delivering Project Management Office services for medium to large scale projects/programmes with an understanding of the full project life cycle and all roles within
a PMO
  • Knowledge and experience of PMO processes, techniques and procedures including risk and issue assessment, quality management, planning and financial controls
  • Ability to demonstrate a close attention to detail
  • Financial planning and reconciliation awareness
  • Strong influencing, negotiation and communication skills with a strong customer service focus, coupled with commercial awareness. Ability to network at all levels
  • Excellent Stakeholder Management Skills
  • Ability to interpret data and be flexible in approach undertaken
