Job Description

    ** Receptionist****Position Overview:**As a receptionist, you will serve as the initial point of contact for visitors, clients, and employees. Your role is essential in creating a positive and professional impression of the organization. You will be responsible for managing incoming calls, welcoming guests, coordinating appointments, and assisting with various administrative tasks.**Key Responsibilities:**
    1. **Greeting and Welcoming:**
    - Greet all visitors and guests in a friendly and courteous manner.- Ensure a welcoming environment by offering beverages, providing information, and assisting with immediate needs.
    1. **Telephone Management:**
    - Answer and direct incoming calls promptly and professionally.- Transfer calls to appropriate personel or departments.- Take accurate messages and ensure timely delivery.
    1. **Appointment Scheduling:**
    - Manage and coordinate appointments, meetings, and conference room reservations.- Update and maintain the appointment calendar to ensure accuracy and avoid conflicts.
    1. **Visitor Management:**
    - Issue visitor badges and maintain a record of visitors for security purposes.- Follow security protocols and ensure compliance with entry procedures.
    1. **Administrative Support:**
    - Assist with various administrative tasks, including data entry, filing, and document preparation.- Provide support to other departments as needed.
    1. **Communication:**
    - Communicate effectively with employees, clients, and visitors to provide necessary information.- Respond to inquiries and provide accurate information or direct inquiries to appropriate personnel.
    1. **Mail and Package Handling:**
    - Receive and distribute incoming mail and packages.- Assist with outgoing mail and package shipments.
    1. **Maintaining Reception Area:**
    - Ensure the reception area is clean, organized, and well-maintained.- Monitor and restock supplies as necessary.
    1. **Problem Solving:**
    - Handle various issues and concerns that may arise, directing them to the appropriate individuals for resolution.
    1. **Professionalism:**
    - Maintain a professional appearance and demeanor at all times.- Uphold the organizations values and mission through your interactions.**Qualifications:**- Graduation Mandatory- Excellent verbal and written communication skills.- Proficient in using office equipment, such as telephone systems and computers.- Strong organizational skills and attention to detail.- Ability to multitask and prioritize tasks effectively.- Customer service-oriented attitude and a friendly disposition.- Familiarity with basic computer software, such as Microsoft Office, Microsoft Excel Suite.- Previous experience as a receptionist or in a customer-facing role is preferred.Role: Front OfficeEmployment Type:Full Time, Permanent
